Providing instructions and medical records

For instructing solicitors

Please provide the letter of instruction and all medical records at least 7 days before the appointment. Your booking confirmation email includes a case reference, which is your client's surname followed by your file reference (for example SMITH ABC-123), and a secure upload link.

Option 1: Secure upload link (recommended)

  1. Open the upload link in your booking confirmation email.
  2. When asked for your name, enter the case reference as your first name and your firm's name as your last name.
  3. Start each file name with the case reference, for example SMITH ABC-123 GP records.pdf.
  4. Upload the files. No password is needed. You can only add files: you cannot see what anyone else has uploaded.

Documents go directly into the secure case file. You will receive a reminder if nothing has arrived 7 days before the appointment.

Option 2: Your firm's secure portal

If your firm's policy requires you to use its own portal:

  1. Send the portal link and the password to records@thespinaldoc.com. They may come in separate emails.
  2. Put the case reference in the subject line of every email. Emails without it cannot be matched to the case.
  3. Make sure the link stays valid for at least 14 days.

The upload link in your confirmation can always be used as a fallback, for example if a portal link expires.

What to provide

If records will not be ready before the appointment, the examination can usually still go ahead. Please upload the letter of instruction beforehand and the records as soon as you receive them. See clause 6 of the terms and conditions.
